Marketing & Sales Coordinator (IRL)

POSITION SUMMARY

Responsible for supporting marketing plan activities for Inmar Reverse Logistics, Inmar Pharmaceutical Services and supporting sales in areas such as proposals, mailings, sales toolkit, sales & marketing tracking.  Incumbent will perform receptionist duties as needed for daily breaks. 


Major Job Responsibilities

 May include one or more of the following, depending on assigned area:

  1. Provide administrative support for the sales and marketing team. 
    • Make copies and complete binding of presentations and proposals to meet client deadlines
    • Coordinate mailings to clients and prospects. 
    • Assist with final preparation of PowerPoint presentations. Coordinate and Set up meetings.
  2. Keep standard formats (proposals/presentations/rfp's/flowcharts) updated with current information
    • Keep toolkit up to date and current with product and industry information
    • Support the sales group in preparation of proposals and presentations and contracts, including final proofing and formatting, locking in .pdf format, saving centralized drive,  preparing hard copies, and mailing
  3. Develop and update sales & marketing tracking documents on a defined schedule and distribute accordingly and timely.  Includes but not limited to:
    • Web site contacts and follow-up
    • Meeting Minutes
    • Summary of Focus & User Group Evaluation Forms
    • Trade show contact information and follow-up
    • Sales Pipeline
    • Weekly marketing updates
    • Recall tracking
    • Buyer's guides, online listings, advertising, PR, direct mailings
    • Any other reporting as requested by sales or marketing
  4. Provide event support (Trade Shows, Focus/User/Advisory Groups and sales meetings) for Inmar Reverse Logistics and Inmar Pharmaceutical Services.
    • Research information on trade show events
    • Coordinate any pre-event mailings
    • Prepare & coordinate shipping of packages/presentations & exhibits
    • Coordinate any post show mailings
    • Enter and track the leads 
    • Keep the attendee/registration lists for focus/user/advisory groups
    • Keep the customer master address file and newsletter list up-to-date
    • Coordinate any internal activities
  5. Coordinate newsletter databases and mailings and provide general sales & marketing support.
    • Coordinate mailings for specific targeted direct mailings
    • Coordinate any client letter mailings
    • Coordinate mailing of materials for sales/marketing
    • Serve as internal support for remote sales group
    • Keep newsletter client databases current and up-to date for all Inmar Reverse Logistics companies.
  6. Manage and administer SharePoint and salesforce.com
    • Serve as the administrator for SharePoint and salesforce.com
    • Participate on the salesforce.com implementation team.
    • Ensure implementation and accuracy of data. 
    • Coordinate with sales and manage any changes
    • Keep document library current and up to date
    • Run pipeline reports and check for accuracy prior to running
    • Develop any users' guides and training for salesforce.com
  7. Coordinate and administer marketing budget items
    • Accurately code and track all invoices  on a tracking sheet
    • Ensure all invoices are paid on time
    • Monitor and research and correct any budget discrepancies
  8. Coordinate media kits and editorial calendars
    • Serve as liaison with publications sales agents
    • Develop editorial calendar and stay on top of potential opportunities
  9. Assist with miscellaneous other projects as required.
    • Other projects as needed

QUALIFICATIONS:

  • Four year degree in business or marketing. 
  • Advanced PowerPoint, Excel and Word skills. 
  • Knowledge of In Design and other graphics design tools, a plus.  
  • Knowledge of salesforce.com and SharePoint a plus.
  • Good, writing and analytical skills.
  • Attention to detail and quality a requirement. Requires much tracking of details, and databases. 
  • Ability to shift priorities and change directions frequently throughout the day
  • Ability to work with multiple top priorities, multiple personalities and requests from sales.
